What Google Drive Files Can I Take?
When you are leaving PTHSD, you may have items in your Google account that you wish to keep. You can do this by downloading a zipped file and then moving it to a new location (flash drive or personal computer). You will need to have a flash drive or a personal computer to complete this process. You may only take your own personal files.
Be aware it is illegal to take with you any files (including emails) that contain confidential and/or personally identifiable information (PII) pertaining to student records or personnel records you may have been privy to while employed by Parsippany-Troy Hills Township Schools.
PII for education records is a FERPA term referring to identifiable information that is maintained in education records and includes direct identifiers, such as a student’s name or identification number, indirect identifiers, such as a student’s date of birth, or other information which can be used to distinguish or trace an individual’s identity either directly or indirectly through linkages with other information.
If you wish to save any personal data from your account, you must do so prior to your last contracted day.
Your account will be disabled immediately after your last day of work, so you will no longer have access to it after that.
How to Take your Files
You can download individual files directly to a flash drive or personal computer.
You may also create a folder in your Google Drive for the files you wish to take.
- Drag any files and folders you need to this new folder. It's your responsibility to ensure that you do not take files with student PII.
- Select the folder you wish to take, and click the download arrow.
- This will download as one zipped (compressed) folder.
Ownership of Google Drive Files
If you are the owner of files that are shared with colleagues, you will need to either make someone else the owner of the files or move the files into a Shared Drive prior to your last day of work.
